Most businesses selling into fixed-term contracts, leases or asset lifecycles hold the information needed to time renewal outreach — but not in one place, and rarely in a form anyone reviews systematically. A proposal sent three years ago, a contract duration mentioned in a CRM note, a salesperson's recollection of a conversation: individually these are fragments, but together they can indicate when a renewal conversation is likely to be live.

How do you tell the difference between a known date and a guess?

A known date comes from a signed contract, a CRM field explicitly recording it, or a confirmed statement from the account. Anything else is labelled as an inferred window and never presented as confirmed.

What if there's no record of the original contract term at all?

We use sector-typical contract duration and any available lifecycle information to estimate a window, and state clearly that this is an inference rather than a fact.

Can this work from our CRM notes alone?

CRM notes are one useful source among several. The more historic material available — proposals, emails, prior conversations — the more confident the timing assessment can be.

Will you tell us to contact a company before their contract has actually ended?

Timing recommendations are based on typical decision lead times before a renewal event, not after it — the aim is to reach the account while the decision is still open, not to suggest they've already switched.

How often is renewal timing reassessed?
